For our 2026 year, Heartland Howloween will feature an entire floor of executive suites, designated for use as party rooms. This Party Floor will be entirely managed by Azelian Events, who have been contracted for Operations, Planning, and Security. Below, you can see a map of the party floor layout.

Azelian Events and its members are not a part of the board of Heartland Furries. Azelian Events has been contracted by Heartland Furries as a separate, trusted 3rd-party organization for various services in organization, promotion, talent acquisition, DJ management, and party floor operations. Any fees associated with the party floor and its operations are collected solely by Azelian Events as part of payment for their services, and may be used to pay Azelian staff, procure supplies for the party floor, and handle any fees associated with booking individual talent. Any questions or concerns related to the party floor and its operations should be directed to Reks at Azelian Events.

Located on the 19th floor, the Party floor contains an array of executive suites designed for hosting events and meetings. The floor has a lobby lounge and a hotel-run bar that will be serving snacks and drinks until 2am each night. Restrooms are available in the common area for guest use.
Booking Suites
The Party Floor suites are not guest rooms and do not contain sleeping arrangements. These suites are designed with events and meetings in mind and are meant to be booked separately from your sleeping arrangements. If you wish to host an event in a party room, please ensure you have a separate guest room booked with the hotel, or other off-site accommodations.
What does this mean for hosts?
Rather than forcing potential party hosts to book an expensive guest suite for an entire convention weekend, our arrangement with the hotel allows us to rent out executive suites in time-blocks for private use. This allows hosts to book a standard guest room at our lower convention rates, and pay only for the time they intend to use in the suites.
Our goal at this convention, and the mission of Azelian Events as a whole, is to make Event Hosting as accessible as possible for our friends in the fandom. For that reason, we have attempted to keep the fees for party suites as minimal as possible. You can view the costs of the various suites here.
Use of the party floor suites is subject to approval by application. Applications will be solely reviewed and approved by the team at Azelian Events. Our selection process is not based on favoritism and aims solely to filter out any events that may violate convention or hotel policy, and to ensure the best spread of party variety and scale. Host FAQ
What furnishings are included in the party rooms?
While the executive suites are not configured as guest rooms, our hotel this year has stated that they can provide and set up furniture on request. Tables, desks, and chairs are available for all rooms and we are working to get further details on what additional furnishings the hotel can provide.
Azelian Events is also happy to work with party hosts to try to network them with local attendees who may be able to provide specialty or household furnishings or lighting for your room.
Do I need registration in order to book a suite?
Yes. The party floor suites are only available to registered attendees of Heartland Howloween. When reviewing applications we will check your name against the list of registered attendees. If you are not registered, your application will be rejected.
What supplies do I need for my room?
Azelian Events will have a stock of basic essentials in our Party Ops room such as paper towels, trash bags, tape, first aid supplies, and narcan in case of emergency. These supplies can be provided upon request.
Outside food and drink is not permitted on the Party Floor, so party hosts should not procure bar supplies for their room.
Hosts will need to procure their own decorations, sound systems, games, or other specialty supplies for their party. For those hosts who are not local, Azelian can provide assistance with procuring and storing these supplies in advance so long as requests are arranged prior to the convention.
Why can't I run a bar on the party floor?
Unfortunately our convention contract with the hotel states that only the hotel bar is allowed to serve liquor and food on the party floor. Some exceptions may be made for small snacks, candy (for trick-or-treating), or specialty food & drink for dietary restrictions.
Free water stations will be provided and restocked by the hotel on the party floor for guests to stay hydrated.
Are NSFW parties allowed on the Party Floor?
Yes! The hotel is aware that these kinds of parties may occur and has given no objections.
While beds are not provided in the executive suites, we are working with the hotel to see if spare mattresses and bedding can be provided to suites that need them.
In the likely event that actual mattresses cannot be provided by the hotel, Azelian is prepared to use funds collected from the party floor to procure air mattresses and provide them to hosts along with bedding for a refundable deposit.

Am I allowed to collect donations for my party?
Yes! Upon approval for a party floor suite, Azelian Events will work with hosts to build an official event listing in the online party directory. This listing can include links to donation or payment platforms, and will be live prior to the convention as soon as all relevant party information has been provided.
Hosts may not restrict party entry to donors-only, or charge explicit entry fees for their event. However you may provide special rewards to donors (within legal limitations) such as stickers, commemorative tokens, party favors, etc.
When will I know if I've been selected?
Applications for party floor rooms will close September 1st. Selections will begin prior to applications closing and will be performed in stages.
Prior to applications closing, you may be informed that your application was rejected. A reason for the rejection will be included, for example: lack of host registration, party against convention policy, selected room size unavailable, etc.
 If you receive a rejection email before applications close you may reapply after correcting issues, unless otherwise stated in your rejection email.
Is there a waitlist?
Yes! If we receive enough applications we will produce a waitlist for the party floor.
Once all timeslots on all rooms have been filled, additional applicants who are not rejected will be notified that they have been placed on the waitlist.
If a selected host cancels or fails to pay their booking fee by the deadline, we will reach out to waitlisted hosts to inform them of the opening.
When is payment for the suite due?
A 50% deposit for your party suite will be due no more than 2 weeks after you are selected, and full payment must be submitted at least a week before the convention unless you have been notified otherwise.
If there is a waitlist and your deposit is not received in time, you will be moved to the bottom of the waitlist and we will notify the first valid waitlist member of the availability.
Suite Pricing
Party floor suites are priced according to time blocks, allowing hosts to rent a party space for only the time that they need, and minimize their expenses.
Each time slot has a one-hour buffer between the previous slot’s end time, and the next slot’s start time to allow for setup and teardown. If hosts request and are approved for back-to-back time slots, this buffer hour between their selected slots becomes part of their granted time and they may continue running the event uninterrupted during that period.
Below, you will find a chart of the various available room sizes and their time slot pricing. Discounts are provided if a host rents a suite for a full day (all 3 time slots) and further discounts are available if the room is rented for the entire convention weekend.
